In this guide, we will walk you through creating a submittal within our platform. Submittals are a crucial part of project management, and Ingenious Build simplifies this process. Let's get started!
Step 1: Access the Submittal Module
Log in to your Ingenious Build account.
In the left navigation menu, click on "Submittal Module."
You will have two options:
Option 1: Submittal Log Builder
This option allows you to scan your project specifications and automatically identify submittals mentioned in the specification book. It's an excellent time-saver for larger projects with extensive specifications.
Option 2: Manually Create a New Submittal
For this guide, we will focus on manually creating a submittal. Click "Create New Submittal" to proceed.
Step 2: Fill in Required Information
Now, let's fill in the necessary information to create your submittal. The tabs at the top of the page will guide you through this process. Here's what to do:
Package Information: Enter a package name, which helps group submittals together. Then, choose a relevant specification from your project specifications (e.g., "Gypsum Board"). Package details will auto-generate, but you can edit them manually. Click "Create Package."
Submittal Details: The submittal number will auto-generate based on the package number and continue sequentially. Provide a title, select a submittal type from existing options, or create a new type in project settings. Select the responsible contractor, typically the one handling the work related to this submittal (e.g., the drywall contractor). You can also add any additional descriptions in the provided box.
Add Text from Specifications: If you've loaded project specifications, you can directly add text from a specific section by clicking "Add Text to Submittal" and saving it as a reference.
Step 3: Upload Files
Upload the files necessary for the review of this submittal
Step 4: Submittal Schedule Details
In this section, you can set up the dates for processing the submittal. Calculate the submittal timeline based on a "Required On-Site Date," factoring in material lead times and internal review time. The default design review time can be configured in project settings. The system automatically determines the "Submit By Date" for on-time processing.
Step 5: Distribution
Once you've determined the dates, click "Next Step" in the Distribution tab. You will select the distribution method (e.g., "Ballin Court"). Choose whether to send the submittal to an on-system vendor or an off-system user. Pick the appropriate project manager. And Set the submittal status.
Now, select the trade manager responsible for monitoring the submittal. You can also pick a distribution template and specify contributors and impacted parties.
Step 6: Save, Submit, or Create the Next Submission
After completing all the submittal information, you have three options:
Save as Draft: If you're not ready to submit, save the submittal as a draft to work on later.
Submit: Submit the submittal for review and processing.
Create the Next Submission: If you have multiple submittals to create, you can use this option to streamline the process.
