Create a Submittal

How to create a submittal, distribute it for review, and set up the submittal timeline.

Overview

In Ingenious Build, submittals help your team review, approve, and track items required for construction. This guide walks you through creating a submittal and explains the updated Additional Design Reviewer Workflow, which allows multiple design reviewers to approve a submittal, one after another.


Step 1: Access the Submittal Module

  1. Log in and open your project.

  2. In the left navigation, click Submittals.

  3. Choose how you want to create your Submittal:

Option 1: Scan from Spec

Upload your specifications to automatically scan and identify Submittals from the spec book. This is recommended for large or complex projects.

Option 2: Add New → Submittal/Package (Manual)

For this guide, choose Add New → Submittal to manually create one.



Step 2: Fill in Required Information

Work through the tabs at the top of the Submittal form.

Submittal Details

  • Enter the Title.

  • In the Package field (required), choose an existing package or click + Create New Package.

    • Enter the Package Number and Name, then save.

    • Submittal numbers auto-generate within a package sequence.

  • Select a Submittal Type or create a new one in Project Settings.

  • Add optional descriptions or references.

  • Click Next Step to continue.


Step 3: Upload Files

Upload any documentation needed to support the design review. This is optional but strongly recommended for clarity and review efficiency.


Step 4: Submittal Schedule Details

Set the dates required to process the Submittal.

  • Enter a Required On-Site Date if you want the system to calculate the timeline automatically.

  • The platform calculates internal design review time and lead times based on your project’s default configuration.

  • The Contract Submit By Date will populate automatically based on these inputs.



Step 5: Distribution

Here, you assign the responsible parties and set the design review workflow.

Responsible Contractor

  • Select the contractor responsible for submitting the Submittal.

  • By default, the creator is assigned as the initial Ball in Court, but you can update it as needed.

Submittal Manager

  • Assign the trade/project manager who will oversee and monitor this Submittal.

Official Design Reviewer

  • Assign the primary Design Reviewer responsible for final approval.

Additional Design Reviewers (Updated)

You can add Additional Design Reviewers (ADRs) if multiple reviewers need to evaluate the Submittal.

What’s new:

  • ADRs now follow a workflow sequence.

  • Only the reviewer assigned to the active step in the sequence will be able to respond.

  • You can reorder the ADR sequence as needed to ensure the correct review order.

Impacted Parties

Add contacts who should receive notifications when the Submittal status changes.
(Note: Distribution Templates have been removed; selection is now manual.)

When you’re ready:

Choose one of the following:

  • Save as Draft – keep working later.

  • Assign Submittal – choose:

    • Submit for Design Review

    • Assign to the Responsible Contractor

    • Change Ball in Court

For this guide, proceed with Submit for Design Review.


Step 6: Submit and Send

  1. Confirm the correct Responsible Contractor is assigned.

  2. Review all details, add any final comments or supporting files.

  3. Click Submit and Send to issue the Submittal for review.


You're all set!
