Overview
In this guide, we will walk you through creating a submittal within our platform. Submittals are a crucial part of project management, and Ingenious Build simplifies this process for you. Let's get started!
Step 1: Access the Submittal Module
Log in to your Ingenious Build account then, find your project.
In the left navigation menu, click on the Submittals module.
You will have two options:
Option 1: Scan from Spec
This option allows you to upload your project specifications and automatically identify submittals mentioned in the specification book. It's an excellent time-saver and recommended for larger projects with extensive specifications.
Option 2: Add New: Submittal/Package (manually)
For this guide, we will focus on manually creating a Submittal/Package. Click "Add New + Submittal" to proceed.

Step 2: Fill in Required Information
Now, let's fill in the necessary information to create your submittal. The tabs at the top of the page will guide you through this process. Here's what to do:
Submittal Details: Add the Title of the Submittal.
Click in the Package field. Please note that the Package field is mandatory.
Click on "+ Create New Package", enter "Package No." and "Package Name" (choose a relevant specification from your project specifications (e.g., "064116 - Cabinets") then, "Create Package".
Packages help group submittals together. The submittal number will auto-generate based on the package number and continue sequentially.
Select a submittal type from existing options or create a new type in project settings.
Add any additional descriptions in the provided box, then click on the "Next Step" button. Add any optional References.
Step 3: Upload Files
Upload the necessary Documentation (Optional) for the review of this submittal

βStep 4: Submittal Schedule Details
In this section, you can set up the dates for processing the submittal.
Calculate the submittal timeline based on a "Required On-Site Date," factoring in material lead times and internal review time.
The default design review time can be configured in project settings.
The system automatically determines the "Contract Submit By Date" for on-time processing.
Step 5: Distribution
Select the responsible contractor, typically the one handling the work related to this submittal (e.g., the carpentry contractor, etc.).
Note: By default, the creator of the Submittal will be assigned Responsible Contractor and Ball in Court.
Add a Submittal Manager (trade manager responsible for monitoring the submittal) and your "Official Design Reviewer".
Tip: You have the ability to add additional Reviewers here. You can also specify impacted parties (contacts that need to be notified when the overall submittal changes status).
Once you've added this information, you have two options:
Save as Draft: If you're not ready to submit, save the submittal as a draft to work on later.
Assign Submittal: You will select between "Submit for Design Review", "Assign to Responsible Contractor" or "Change Ball in Court". For this guide, we'll move forward with "Submit for Design Review".
Step 6: Submit and Send
Select the correct Responsible Contractor if you haven't done that yet.
Confirm all the additional information, add any Comments and Supporting Documents
Click Submit and Send
