Roles, Permissions, and Notifications

Roles

RFI Manager A user within a General Contractor workspace type who will manage the lifecycle of an RFI, from creating and submitting to reviewing a response and distributing the RFI. These users have the most control over an RFI, allowing them to manage the full process even without external collaborators, with the ability to:

  • Change ball in court at any time

  • Propose and approve official solution

  • Close and Distribute once the status is Responded

Official Reviewer A user within a Design workspace type who will manage the responses of an RFI. They can propose an official solution, or approve any proposed solutions as the official solution. They can also change the ball in court to another user before sending it back to the RFI Manager.

Impacted Parties Users who will receive notifications when the RFI status changes

Ball in Court Within RFIs in "Submitted" and "Clarify Solution" statuses, users with Ball in Court can propose solutions.

Permissions

Subcontractors can perform the following actions:

  • Create a Sub RFI and submit to the RFI Manager

  • View Sub RFIs submitted by users within their workspace

  • View Project RFIs

General Contractors can perform the following actions:

  • View Sub RFIs submitted to them and users within their workspace and:

    • Receive a Sub RFI and respond to a Sub RFI

  • View all Project RFIs and:

    • Create and submit

    • Propose a solution

    • Approve as official solution

    • Close and distribute

    • Change ball in court

Architects / Engineers can perform the following actions:

  • View all Project RFIs and:

    • Propose a solution

    • Approve as official solution

    • Change ball in court

Owners and Reps can perform the following actions:

  • View all Project RFIs

  • Receive and change ball in court

  • Within RFIs in "Submitted" and "Clarify Solution" statuses, if they have Ball in Court, they can propose solutions

Notifications

For Project RFIs, the specified users below should receive in-app and email notifications based on the events listed below:

  • When an RFI is submitted, the Official Reviewer will receive

  • When an RFI is responded to, the RFI Manager will receive

  • When an RFI is closed and distributed, the Official Reviewer, RFI Manager (+Initiator if different), Impacted Parties will receive

  • When BIC is changed, the user who receives BIC will receive

  • When a user asks for clarification, the user who receives BIC (either the OR or RFI manager) will receive

  • When an RFI is archived, the Official Reviewer, RFI Manager (+Initiator if different), Impacted Parties will receive

  • When an RFI is re-distributed, newly selected Impacted Parties will receive
