Learn how to use the Forms feature in INGENIOUS.BUILD to create templates, manage inspection requests, and perform inspections efficiently.

Overview

The Form feature on INGENIOUS.BUILD enables users to create customizable templates within their workspace and apply them project-by-project. With these templates, users can efficiently create Form requests, assign inspectors or project team members, and manage the inspection process.


Process

Lists and Templates

  • Users can create templates for various Form types: Safety, Quality, Environmental, and Others.

    Questions within templates can have the following answer types:

    • Multi-select

    • Single Choice

    • Text Input

    Users can specify whether a question is required.

    Admins can create:

    • Company Templates β€” accessible to all users within the workspace

    • My Templates β€” available only to the creator

    Non-admin users have read-only access to Company Templates.

  • Non-admins have read-only access to Company Templates.​



Create Form Request

  1. On the Listing View, Forms are organized under Pending and Completed tabs based on their status.

  2. Users can create a new Form request directly from the listing view. After selecting a template, the following details can be added:

    • Form title and type

    • Specify whether the user is the inspector or assign another inspector

    • Date of Form
      ​

Once all required fields are completed, the user can:

  • Preview the inspection template in read-only mode (optional)

  • Save the Form as Pending

  • Submit the inspection


Start and Perform the Form

The assigned inspector can initiate the inspection by clicking "Add New Form" and completing:

  1. Fill Survey: Answer the Form prompts.

  2. Files: Upload supporting documentation.

  3. Final Review: Provide the final assessment and complete the Form.

Forms can be saved as pending at any point for later completion.


Access and Permissions

Internal Workspace Visibility

All users who belong to the same workspace that created the Form, and who have access to the associated project, can view the Form.

External Workspace Visibility

Users from different workspaces (i.e., outside the workspace that created the Form) can only view the Form under the following conditions:

  • They are assigned as the Inspector on the Form

  • They are explicitly added as a member of the Form

  • They are part of the approval workflow, and the Form has been submitted for approval

Default Restriction for External Users

Users from external workspaces who do not meet any of the conditions above:

  • Are not the Form Inspector

  • Are not a Form member

  • Are not included in the approval workflow

Will not see the Form in the Forms list.

These same visibility and restriction rules also apply to Punches and Submittals.


Workspaces

The Form feature is available on all workspaces and the mobile app.


Summary

Users create forms from templates, assign inspectors, and complete them with responses, files, and a final review. Forms can be saved as pending or submitted.

Internal users can view forms, while external users only have access if they are the inspector, a member, or part of the approval workflow. All others are restricted.

Available across all workspaces and mobile.
