Proposing a solution to a Project RFI

Overview

This feature empowers key project stakeholders, whether in Design or General Contractor workspaces, to efficiently propose, approve, and manage RFI solutions, ensuring the project progresses without delay.


Prerequisites

As a user within a Design workspace type, you can propose a solution to any RFIs that were submitted to you as the Official Reviewer, or when the Ball in Court is switched to you.

As a user within a General Contractor workspace type, you can propose a solution to any of your RFIs for record (even if your Official Reviewer is off system). This is to allow for flexibility for off-system capabilities.


Process

Receiving an RFI

  1. When an RFI is submitted, the Official Reviewer receives an in-app and email notification.

  2. Opening the notification takes you directly to the RFI, where you'll see the full question, any referenced specifications or drawings, and the current status (Submitted).


Proposing a solution as the Official Reviewer

  1. Click the Respond button on the RFI.

  2. In the slide-out panel that appears, enter your proposed solution in the required fields.

  3. By default, the Official Solution toggle is activated. Submitting with this toggle on changes the RFI status from Submitted to Responded, and prompts the RFI Manager to review the response and distribute the RFI.

  4. If you would like to submit more than one solution, or change the Ball in Court to another user before submitting, turn the Official Solution toggle off.


Changing Ball in Court

  1. As the Official Reviewer or the RFI Manager, click "Change Ball in Court" next to the Respond button at any time.

  2. Select the user you want to assign the Ball in Court to.


Requesting clarification on a solution

If a proposed solution needs more detail before it can be approved, the Official Reviewer or RFI Manager can send it back for clarification instead of approving it outright:

  1. Open the proposed solution on the RFI.

  2. Click the Clarify Solution button.

  3. Add a comment explaining what needs to be clarified.

  4. Send it back to the user who proposed the solution, who will be notified to revise and resubmit.

Approving a solution

  1. As the Official Reviewer, review the proposed solution.

  2. Click Approve and add a comment if needed.

  3. This changes the RFI status from Submitted to Responded, and prompts the RFI Manager to review the response provided.


By enabling efficient decision-making and flexibility in handling RFIs, the process helps keep the project on track and prevents delays.
