Overview
This feature empowers key project stakeholders, whether in Design or General Contractor workspaces, to efficiently propose, approve, and manage RFI solutions, ensuring the project progresses without delay.
Prerequisites
As a user within a Design workspace type, you can propose a solution to any RFIs that were submitted to you as the Official Reviewer, or when the Ball in Court is switched to you.
As a user within a General contractor workspace type, you can propose a solution to any of your RFIs for record (even if your Official Reviewer is off system). This is to allow for flexibility for off-system capabilities.
Process
Receiving an RFI
When an RFI is submitted, the Official Reviewer will receive an in-app and email notification.
When the Official Reviewer opens the RFI, it will look like the screenshot below:
Proposing a solution as the Official Reviewer
As the Official Reviewer, you can propose a solution by clicking the Respond button and entering the required information within the slide out.
By default, the Official Solution toggle is activated, which effectively changes the RFI status from Submitted to Responded and will prompt the RFI Manager to review the response and distribute the RFI.
You can deactivate this toggle if you would like to submit more than one solution, or change the Ball in Court to another user.
Changing Ball in Court
As the Official Reviewer or the RFI Manager, you can change the Ball in Court at any time by clicking on "Change Ball in Court" next to the Respond button.
Approving a solution
As the Official Reviewer, you can approve any proposed solutions and add a comment, which will effectively change the RFI status from Submitted to Responded. This will prompt the RFI Manager to review the response provided.
By enabling efficient decision-making and flexibility in handling RFIs, the process helps keep the project on track and prevents delays.
