Construction Administration's Approval Workflows: Forms

Overview

Efficiently manage construction administration approvals with tailored workflows that ensure consistency, accountability, and efficiency. This comprehensive guide walks you through creating, customizing, and applying approval workflows at both the project and form levels.


Prerequisites

You must have an Administrator account to create and manage these workflows.


Process

Creating a Construction Administration Approval Workflow

  1. Navigate to the Lists & Templates module.

  2. Scroll down to Construction Administration Approval Workflows, then click View Approval Workflow Templates.

  3. Click + Add New Template.

  4. Add a Workflow Name. You can also add a Description.

  5. Choose the Approvers. You can either select a Role or an Employee.

    1. You can also select if they should be an Approver or a Reviewer under Type.

  6. You can toggle Sequence on or off, depending on whether you want the approval workflow to be sequential.

  7. Click Save.


Adding a Workflow Within Project Settings

  1. Within the project, navigate to Project Settings.

  2. Go to Construction Administration Approval Workflows.

  3. Click Create Approval Workflow.

  4. Add a Workflow Name. You can either select an Empty Workflow or Use Existing Workflow Type.

  5. When selecting Use Existing Workflow Type, click on Choose Template.

  6. Select the desired template. Click Apply.

  7. Click Create.

  8. Select a person from the dropdown who fits the assigned role.


  9. You can toggle Safety Inspection Templates on and off.

    • Toggle On to define a specific workflow for form categories or individual forms to enable multiple unique approval processes for individual forms on the project.

    • When Toggled Off (Default), all forms will follow the configured workflow.

  10. Click Save.


Creating Forms

  1. Navigate to the Forms module.

  2. Click + Add New Form


  3. Fill out the Form information, then click Apply Template.

  4. Select the template. Click Apply.

  5. Click Create Form


Starting a Form

  1. Select the pending Form. Here, you will see the approval workflow within the Approvals tab.

  2. Click Start Form

  3. Fill out the survey. Add Files if necessary.

  4. Add in your Final Assessment (Passed, Failed, or Not Applicable). Click Submit for Approval.

  5. This will now go through the Approval Workflow.
