Overview
The Buildings / Sites feature provides you with an intuitive and robust tool to manage and track all aspects of your buildings and their associated projects. From detailed building information to managing subsites, tenants, and files, this feature ensures you have everything you need for efficient property management, streamlined reporting, and better decision-making.
Prerequisites
Add a Building / Site to use the management features listed below.
Process
Viewing and Managing Buildings / Sites
To view all of your Buildings / Sites, go to Buildings / Sites module on the Left-Hand Navigation.
To view and manage a Building / Site, click on the desired building/site to open it.
Buildings/Sites are listed as cards or rows on the main module page; clicking one opens its dedicated record with a set of tabs across the top for the different categories of information described below.
Use the tabs to view and add information about your Building:
Building Details: Enter basic information about your Building, such as Address, Building ID, Owner/Entity, Real Estate Classification, and Asset Type.
This tab presents each of these as an editable field — Address, Building ID, Owner/Entity, Real Estate Classification, and Asset Type — laid out in a simple form.
You can filter your Buildings by these categories on the main Buildings / Sites page.
Mark a building as Confidential to restrict access to the building information to invited users only by clicking "Edit Building".
The Edit Building panel includes a Confidential toggle; turning it on restricts the building's information to only the users you've explicitly invited. A separate Manage Access button opens a dialog for adding or removing those invited users.
Invite users using the Manage Access button.
Projects: From the Projects tab, view the Projects associated with this building.
This tab lists each associated project as a row, with basic identifying details for quick reference.
Project Summary: The Project Summary tab is similar to our Portfolios feature. From here, you will see summary data of the Projects associated with this Building.
This tab displays rolled-up figures (such as budget and schedule data) across all of the building's associated projects, similar to the layout used in Portfolios.
Subsites: View or add Subsites for this Building on the Subsites tab. Edit the Subsite to add additional information, such as a description, Occupancy Status, and Lease ID.
Subsites are listed in a table on this tab; opening a Subsite's edit panel reveals fields for its description, Occupancy Status, and Lease ID.
Occupants: Keep track of the Occupants of this Building on the Occupants tab. This is useful if your Building has Tenants/Occupants each associated with a different Subsite or Project.
This tab lists each occupant along with the Subsite or Project they're associated with.
Note: Adding an Occupant will NOT invite them to your Building/Site or to use INGENIOUS.
Files: Upload any Files associated with this Building.
This tab shows a file list for the building, with an upload option to add new documents.
Timeline: Changes to the Building will be tracked on the Timeline tab.
This tab shows a chronological log of changes made to the building record, including what changed and when.
From tracking building details and managing subsites to keeping an eye on tenants and uploading files, this feature ensures efficient property management and enables better decision-making with detailed insights and streamlined reporting.
