Overview

By leveraging Bid Q&A in INGENIOUS.BUILD, users can streamline bid package creation, ensure consistency, and simplify collaboration through customizable and exportable templates.

Process

Creating a Q&A List

  1. Access Lists & Templates

    • Navigate to Lists & Templates and click View Bid Q&A.

This option is found within the Lists & Templates section of the left-hand navigation menu, alongside your other reusable list and template tools.

  2. Add a New List

    • Click Add List in the top-right corner and enter a name for your list (editable later).

Clicking Add List opens a small dialog with a single text field for the list name. Enter a name and confirm to create the empty list, ready for categories and questions.

  3. Add Categories

    • Click Add Category and provide a description of the type of questions you'll include.

This opens a panel with a single description field where you describe the category (for example, "Insurance Requirements" or "Safety Certifications"), which then appears as a labeled section within the list.

  4. Add Questions

    • Click Add Question to include questions in the category.

    • Specify the answer type for each question:

      • Text Input

      • Yes/No

      • Drop-down

      • Multi-select

      • Number

      • Attachment

The answer type is chosen from a dropdown list on the question form; selecting "Attachment" lets bidders upload a file as their response instead of typing an answer.

    • Use Save to finish or Save and Add Next to continue adding questions.

Tip: You can also adjust the answer's character limit to ensure the response fits your needs. This allows for more concise or detailed answers as required.

  5. Finalize the List

    • Once all questions are added, click the Actions button in the top-right corner.

  6. Select Save Changes to save your list.

The Actions button opens a dropdown menu in the top-right corner of the list, with "Save Changes" as one of the available options alongside the export option noted below.

Note: You can also export the list to Excel by clicking Actions > Export to Excel.

The list is now ready to use for template creation.

Creating a Template

  1. Access the Templates Tab

    • Click on the Templates tab in the top menu.

  2. Add a New Template

    • Click Add Template in the top-right corner and name your template (editable later).

As with adding a list, this opens a simple dialog with a text field where you name the new template before it's created.

  3. Customize the Template

    • Add a description to help your team identify the template.

    • Select questions from your previously created list:

      • Highlight the desired questions.

      • Click the right arrow to move them into the template.

      • Use the double arrow to include all questions, if applicable.

This step uses a two-column layout: your full Q&A list appears on the left, and the template's selected questions appear on the right. Selecting questions on the left and clicking the single right arrow moves just those questions over; the double arrow moves the entire list at once.

  4. Save the Template

    • Click Actions > Save Template to finalize.

The Actions button in the top-right corner opens a dropdown menu containing "Save Template," which finalizes and stores the template for future use on Bid Packages.

Next Steps

You can now apply the template to your Bid Packages for streamlined structuring and better collaboration.
