Create and manage lists of quoted items that can be used for contracts and bid packages

Background

Bid quoted items are a way to describe to bidders how their costs should be structured. The quoted items assigned within a bid package creates the structure of how the potential vendor contract will be. By using Bid Quoted Items templates, you can standardize the format in which you receive pricing, and save you time in entering the same quoted item on each bid package you create!

Admin or Project Executive account types are required to edit Bid Quoted Item templates.

Process

Creating a List

  1. Within Lists & Templates, click on View Bid Quoted Item Groups.

  2. Click Add List at the top right corner, and enter in a name. This can be edited at a later time.

  3. To enter in questions, you must first enter in a category by clicking Add Category. This can be a simple description of the type of questions you will enter.

  4. Select an RFP type for this list, which will indicate the type of bid package you'll be able to use this list and its associated templates on.

  5. To add a category, click on the actions button in the top right corner of the screen and select “Add Category”. You will then be prompted to add a category code and category name.

  6. When you are done adding categories, it's time to add quoted items. To add a quoted item, click on the actions button in the top right corner of the screen and select “Add Quoted Item”. You can also add a quoted item directly to the category by simply clicking on the plus button on the category you would like to add it to. This will auto-select that category in the “Add Quoted Item” pop-up.

  7. You can click Save if you are done adding quoted items, or click Save and Add Next to keep adding.

  8. Once you've added all of the quoted items to the list, you can now create a template!

Importing Quoted Items

You can also import your quoted items by clicking on Actions and downloading the template, which can be found by hovering over the question mark. Fill in this template and upload it here.

Creating a Template

  1. Click on the Templates tab at the top.

  2. Click Add Template at the top right corner. You will be prompted to name the template, which can be edited later.

  3. On this page, you are able to edit the Template Name, add a description to help your employees find this template, and add in quoted items from the List you just created.

  4. To add Quoted Items from the list, select the ones you'd like to add, and then click the right arrow to bring it over to the template. Use the double arrow to bring all of them over if applicable.

  5. Once you are done, click Actions > Save Template. You can now use this template on your Bid Packages and Contracts!
