Overview

Checklist items help break down tasks into smaller, manageable steps. They can be added to individual tasks or included in task templates for consistency across projects.


Process

Where to Create Checklist Items

  • Checklist items can be added when creating a new task.

  • They can also be included in task templates for reusable workflows.

How to Create Checklist Items

  1. Create a New Task or Task Template – When setting up a task or template, there is an option to add checklist items.

  2. Add Checklist Items – Enter the checklist items as subtasks under the main task.

  3. Include Details – Add descriptions for clarity. If multiple members are working on a task, you can mention their names within the checklist item description.

Assigning Checklist Items

  • Members can be assigned to checklist items by clicking their name within the checklist.

    Note: Assignments cannot be pre-set in task templates, as they depend on the project's vendors or contractors.

Checklist Item Limitations

  • Assignments cannot be pre-configured in templates.

  • Checklist items are not directly linked to other modules.

Task Status Behavior

  • Marking a checklist item as "Complete" updates the task status to "Completed."

  • Unchecking a completed checklist item does not revert the task status; the status must be manually changed via the dropdown menu.

Types of Checklists

  • Task Templates – Allow for structured checklists beyond simple single-line items.

  • Custom Checklists – These can be created from scratch or existing templates.

Creating Tasks with Checklists

  • Click "Create New Task" to build a task from scratch, adding checklist items manually.

  • Use task templates to create tasks with pre-existing checklist items for consistency.

Checklist Visibility & Management

  • Checklist items are visible to all task members.

  • They can be managed directly within the task interface.

Importing Checklist Items

  • Task lists and templates can be imported into projects, carrying over their checklist items.

Reusing Checklist Items

  • Checklist items can be used across multiple projects by utilizing task templates and lists.

By using checklist items effectively, teams can streamline workflows, ensure accountability, and maintain clarity in task execution.
