Creating a New Task

How to create a project task, including task details, members, files, and access settings.

Overview

The Tasks module lets you create, organize, and track project activities in one place. Each task includes details, members, files, jobsite locations, and access settings, and can be linked to other tasks or risks for supporting context.


Prerequisites

You must be in a project. Tasks are created at the project level.


Process

  1. From the left navigation, click Tasks. The All Project Tasks page opens.

  2. Click Create Task in the top right. A slide-out panel opens.

  3. Fill in the task details. Fields marked with a red asterisk are required.

    • Name — the task name (required).

    • Description — a rich-text description. You can use bold, italic, font size, alignment, bullet lists, numbered lists, checklists, and links.

    • Who can access this task — choose one:

      • Project Directory Members — everyone with project access can view and edit.

      • Task Members Only — only the members added below can view and edit.

    • Members — add users who will be notified about this task.

    • Status — task workflow status. Options: Backlog, Planned, In Progress, Under Review, Completed. Defaults to Backlog.

    • Priority — Lowest, Low, Medium, High, or Highest. Defaults to Lowest.

    • Ball in Court — the person currently responsible for moving the task forward. Click the + icon to assign.

    • Responsible Company — the company accountable for the task.

    • Start Date and Due Date — the task timeline.

    • Tags — optional labels for filtering and organizing tasks.

    • Jobsite Locations — click Select Jobsite Locations to link the task to one or more project sites.

    • Files — drag files into the upload area, or click Browse Files to select from your computer.

    Tip: To add a checklist of subtasks, use the checklist button in the Description toolbar. There is no limit to the number of checklist items.

  4. (Optional) Click the flag icon in the top right of the panel to flag the task for visibility. Flagged tasks show a flag indicator in the list view.

  5. Click Save in the top right. The task is added to the All Project Tasks list.
