Building & Sites Permissions

Control who can access, enter, and manage buildings and site addresses within the system.

Overview

This article explains how view and edit permissions work for Buildings and Subsites, including how access is determined based on account permissions, user roles, and strategic client relationships.


Key Definitions

Account Permission
Refers to the setting:
“Access Buildings and Sites without an Invitation, and enter new addresses” (found under Account Types).

Strategic Client Match
Access to a Building or Subsite depends on whether a strategic client match is met.


Strategic Client Match Rules

For Buildings

A Building meets the strategic client match condition if any of the following is true:

  • Building owner company is empty

  • User has no strategic client record

  • User’s strategic client matches the building owner company

  • User’s strategic client matches any occupant company (Building Details → Occupants)


For Subsites

A Subsite meets the strategic client match condition if any of the following is true:

  • Subsite occupant company is empty

  • User has no strategic client record

  • User’s strategic client matches the subsite occupant company


Building Permissions

Edit Access

Users can edit a Building only if all conditions are met:

  • Strategic client match = TRUE

  • Account permission is enabled

  • User is:

    • The Building creator, or

    • Invited as a Building editor


View Access

Users can view a Building if either condition is met:

  • Strategic client match = TRUE

  • User has view access to at least one Subsite under the Building


Subsite Permissions

Edit Access

Users can edit a Subsite only if all conditions are met:

  • Strategic client match = TRUE

  • Account permission is enabled

  • User is:

    • The Subsite creator, or

    • Invited as a Subsite editor, or

    • Has edit access to the parent Building


View Access

Users can view a Subsite only if:

  • Strategic client match = TRUE


Projects Tab (Building Details → Occupants)

  • All projects are visible in the list

  • Project links are clickable only if the user has access to that project

  • The Project Summary tab displays stats for all projects

  • The Assigned Projects count reflects the total number of projects listed


Occupants Tab

  • No permission restrictions apply

  • All occupant data is visible


Buildings List (Paginated View)

  • Each Building shown must meet Building View Access rules


Address Dropdown (Project Settings / Project Wizard)

This dropdown combines both Buildings and Subsites:

  • If a Building has Subsites → the Building will not appear, only its Subsites

  • Each Building must meet Building View rules

  • Each Subsite must meet Subsite View rules


Important Behavior & Use Cases

1. Building Access Does NOT Grant Subsite Access

Users may:

  • View a Building

  • But not see any Subsites under it

Subsite lists will be filtered based on Subsite permissions.

2. Subsite Access DOES Grant Building Access

If a user can view a Subsite:

  • They will automatically be able to view its parent Building


Summary

  1. Access is controlled by a combination of:

    • Strategic client match

    • Account-level permissions

    • User role (creator, editor, etc.)

  2. Building and Subsite permissions are related but not identical

  3. Subsite visibility can expand Building access—but not the other way around
