Overview
Project Drive Structure Templates allow you to create reusable drive and folder setups for your projects. This ensures consistency across projects and reduces the time spent manually creating folders and assigning access. Templates can include multiple drives, customizable permissions, and flexible folder hierarchies with drag-and-drop organization. You can also assign templates to specific clients to control availability.
Prerequisites
Access to Project Drive Structure Templates is required, along with the appropriate permissions to create or manage templates within the system.
Create a Template
Navigate to the Lists & Templates Module
Scroll to the bottom and select Project Drive Structure Templates
Click to "+ Create Template"
a. Enter a Name
b. (Optional) Assign a Client to restrict usage
c. Add a Description
2. Configure Drives and Folder Structure
Add one or more Drives by clicking the "+ Add New Drive."
a. Select an Access Type for each drive: No Access, Can Edit, or Can View
b. Add folders within the drive
c. Create child folders for nested structure
d. Use drag and drop to reorganize folders
Click Save to finalize the template
3. Apply the Template
Important: If you only have one document structure template, it will automatically be applied when creating a project. If you have multiple templates, you must manually select one.
a. Navigate to the desired Project
b. Open Project Documents
c. Click Apply Template
d. Select the desired template, then click Apply.
Note: Applying a template will append drives and folders to the existing project structure. It does not replace current content.
What happens when I apply a template?
The template’s drives and folders are added to the project. If applied multiple times, the structure will continue to append to the existing setup.
Can templates be limited to specific projects?
Yes. If a client is assigned to a template, only projects associated with that client will have access to use it.
Summary
Project Drive Structure Templates help standardize and streamline project setup by allowing users to create reusable drive and folder structures with defined permissions. They can be automatically applied when only one template exists or manually selected when multiple templates are available.
