QuickBooks Integration Setup Guide

Learn how to connect INGENIOUS.BUILD with QuickBooks, authorize your account, complete setup, link vendors and cost codes, and sync invoices and contracts for seamless accounting integration.

Overview

Connect your QuickBooks account with INGENIOUS.BUILD to streamline financial workflows and keep your accounting data in sync. This guide walks you through scheduling setup, completing authorization, linking records, and exporting invoices and contracts.


Prerequisites

  • Company Settings access in INGENIOUS

  • Admin access to your QuickBooks account

If you do not have appropriate permissions, contact your workspace administrator before starting.


Process

1. Connecting Ingenious to QuickBooks Online

Step 1: Navigate to Company Settings → Integration Hub → QuickBooks → Start Integration.

Step 2: Click through the on-screen prompts until you reach the QuickBooks login page.

Step 3: Log in to your QuickBooks Online account.

Once complete, you should see a “Success” message confirming Quickbooks and Ingenious are linked.

Note:

If you encounter an error after logging in, repeat the steps above. If the issue persists, please reach out to support.

Before you can sync contracts or invoices between Ingenious and QuickBooks Online, you’ll need to complete two quick setup steps. First, link your QuickBooks vendors to their corresponding Ingenious vendors, and then connect your QuickBooks chart of accounts to the appropriate Ingenious cost codes.

2. Linking Accounting Vendors

1. Navigate to Navigate to Contacts → Accounting Companies → Add Accounting Companies.

2. Click 'Add Accounting Companies' and filling in the required fields

Select the bubble next to the correct vendor and click Save.

3. Linking QuickBooks Chart of Accounts to Ingenious Cost Codes

Tip! You can link Cost Codes from Lists & Templates → Project Cost Codes → Follow steps 2-4

  1. Open a project budget or ACR.

  2. Select the cost code.

  3. Click Edit.

  4. Choose the Connected Accounting Cost Code.

  5. Click Save.

Click Save to finalize the connection.

Sending Contracts & Invoices to QB

Once the steps above are completed and the financial item is fully approved, a “Sync to Accounting” button will appear in the top-right corner. Click this button to begin the sync to QuickBooks, and upon completion you will see a “Successfully Synced” confirmation message.
