Creating and Submitting Drawings as a Collaborator

This article walks through the drawing upload process, how to share files appropriately, and what to expect after sharing.

Overview

Collaborators in a project can upload drawings using the Drawings module. While there is no formal “submit for approval” workflow for drawings, like there is for RFIs or Submittals, Collaborators can still share their drawings with clients and internal project members using the Documents module or by attaching files to other items.


Process

1. Access the Drawings Module

  1. Navigate to the Drawings module from the left-hand project menu.

  2. Click "Add New Drawings."


2. Upload Your Drawing File

  1. Choose your upload type:

    • New Current Set – For a completely new drawing set

    • Revision to Existing Current Set – For updated versions of drawings already uploaded

    • New Draft Set – If the drawings are still being finalized

  2. Click Continue.

  3. Upload a PDF file (multi-page preferred; merge separate files beforehand).

  4. Enter a Set Name.

  5. Click Upload.


3. Configure the Drawings (OCR Setup)

  1. After uploading, click Configure.

  2. Use the Select Region tool to highlight:

    • Sheet Number

    • Sheet Title

  3. Confirm your selections.

  4. Review auto-extracted details and update them as needed.


Sharing Drawings with the Client or Internal Team

Since the Drawings module does not include a formal submission workflow for approval, Collaborators can use the following alternatives to share drawings:

Option 1: Share via the Documents Module

  1. Go to the Documents module.

  2. Upload your drawing file into the appropriate folder.

  3. Click the three dots beside the file > select Share.

  4. Select the users and permission level.

Keep in mind: Folders in the Documents module are private by default for external users. Make sure the right users have access.

Option 2: Attach Files to RFIs or Submittals

When creating an RFI or Submittal:

  1. Upload the drawing file directly in the item creation screen.

  2. These files are accessible to internal users; external sharing still depends on permissions.
