Gain a better understanding of companies, contacts, and vendor management issues in INGENIOUS.BUILD.

Q: How can I add a company? It is grayed out.

A: To add a new company in INGENIOUS.BUILD:

  1. Navigate to the Contacts module.

  2. Add a new contact using an email domain that is not associated with an existing company.

  3. Once the email is entered, you will be prompted to enter the company’s details, including:

    • Name

    • Address

    • Zip code

    • City

    • Country

  4. Select the company's type from the drop-down menu (e.g., Design, Owner/Developer, General Contractor).

  5. Save the information to the Contacts List.

Note: You must first create a new contact with a new email domain. This will allow you to enter the company’s details.

Q: How can I edit an on-system contact?

A: You cannot directly edit the details of an on-system contact in your INGENIOUS.BUILD workspace. Only off-system contacts can be edited by users in your workspace.

Why?

  • On-system contacts have active accounts in their own company’s workspace on the Ingenious platform. Their information is managed within their respective workspace.

  • For on-system companies and contacts, they must update their details within their own INGENIOUS.BUILD workspace.

Q: Why can’t I set up office locations?

A: Only Workspace Administrators can set up office locations.

To add office locations:

  1. Navigate to Company Settings.

  2. Click on Office Locations.

  3. Click + Add Location.

  4. Enter the office details and save.

Note: Administrators can add multiple office locations within the system.

Q: Can I add multiple office locations for a company?

A: The ability to add multiple office locations depends on whether the company is on-system or off-system in INGENIOUS.BUILD.

  • On-System Companies (Clients with Their Own Workspace):

    • There is no limit to the number of office locations they can add.

    • They must update their office locations within their own INGENIOUS.BUILD workspace under Company Settings → Office Locations.

  • Off-System Companies:

    • The system only allows up to two office locations for off-system companies.

    • There is no current workaround to exceed this limit.

Q: I want to add a coworker to the project directory, but it asks me to enter details for a new company. Why?

A: If your coworker has the same email domain, make sure your company’s domain is properly set up as a trusted domain in Company Settings.

  • Trusted domains help automatically associate contacts with your company.

  • Workspace Administrators can manage trusted domains within Company Settings.

Q: Why can't I remove contacts and archive employees?

A: Removing contacts from a project can only be done by Administrators, Project Executives, or the user who added them (if no dependencies exist).

Archiving employees can be done by users with sufficient permissions, including Administrators.

Q: Why is a contact grayed out when adding them to a bid package?

A: If a contact is grayed out when adding them to a bid package, the most common reason is a mismatch in workspace types.

  • The recipient type selected when creating the bid package (e.g., Subcontractor, Architect/Engineer/Designer, General Contractor) must match the workspace type assigned to the contact's company in the Contacts module.

  • Ensure that the workspace types in your contacts align with the recipient type chosen for the bid package to successfully send invitations.

Q: How can I add multiple contracts to one vendor?

A: To add multiple contracts to one vendor:

  1. Navigate to the Project Contracts module within a project.

  2. Click + Add Contract

  3. Choose either Main Contract or Vendor Contract.

  4. In the Contract Details section, select the desired vendor.

    • You can search for an existing vendor or invite a new contact from that vendor.

  5. Fill out the remaining contract details, including documents, SoV/WBS, and any other necessary information.

  6. Save and execute the contract.

  7. Repeat these steps for each additional contract with the same vendor.

Note: Each contract is created as a separate record, even if it is with the same vendor.

Q: How can I change the vendor on an existing contract?

A: You cannot directly change the vendor company listed on an existing contract. Once a contract has been created and executed, the vendor company tied to the contract is non-editable.

However, there are a couple of alternative approaches you might consider:

  • Change Vendor Contacts Within the Same Company: If the new contact you want to associate with the contract is still within the same vendor company that is currently listed, you can change the vendor contacts. To do this, you would typically navigate to the contract details and edit the contact information.

  • Create a New Contract: If you need to assign a completely different vendor company to the work, the recommended approach is to create a new contract and assign the desired vendor to that new contract. This would involve setting up a new agreement with the correct vendor.
